Appointment Scheduling

Increase access and completion rates

Missed appointments occur when residents don’t get to choose their appointment, miss your letters or forget. End the costly back-and-forth of scheduling compliance inspections with a digital, self-serve solution tenants love. Integrated with your systems, it lets tenants choose inspection times that work for them.

Automated reminders

No more missed appointments

Appointments sent by letter are easily missed, forgotten or aren’t received at all. With our automated text and email reminders, your residents will be prompted to book a convenient appointment time and will be reminded about their upcoming inspection. That way you can guarantee someone will be in for an appointment and have the option to reschedule before your inspector turns up at the door.

Track and report

Detailed compliance monitoring

Evidence compliance with regulations through our reporting dashboard by seeing the number of contact attempts made, booked and overdue appointments. Instantly identify and prioritise your most urgent inspections and easily monitor and follow up with outstanding inspections.

No, the Inspection Scheduling module can work on its own, offering pre-configured appointment slots to your residents. However, integration with a scheduler will offer more precise appointment slots to residents based on your availability.

We have calculated the average cost of missed appointments based on the following data:

Cost to print and send 1st appointment letter: £0.88 (8p to print, 80p 2nd class franked mail)

Cost of appointment: £100 (EICR is about £80-125, gas safety £35-99)

Travel: £4.50 (based on 45p per mile and 5 miles of travel between the previous appointment and following appointment)

Cost of follow up call to rebook appointment: £6.26 (ContactBabel, 2024)

Cost to print and send new appointment letter: £0.88

Total per missed appointment: £112.52

For properties inside London, our customers have indicated a cost of £150 per appointment. This is a 33% increase on the missed appointment cost for properties in the rest of the UK.

Based on customer and third-party data, the average social housing stock size is about 5000 homes.*

Data from Inside Housing suggests 30% of all appointments are missed due to no access.

Most properties need at least three inspections per year; a mandatory annual gas safety inspection, a general inspection to check the condition of the property and one other mandatory inspection or repair. We calculated the average cost of a missed appointment to be £112.52, or £150 if your housing stock is inside London.

Based on this data, the average HA deals with 4500 missed appointments at a total cost of £506,340. We believe we can cut this number by 60%, saving the average provider £303,804 a year.

*We have removed providers with housing stock of less than 1000 to remove housing co-ops and local authorities with mixed housing stock.
